Overview
Support the management of a fleet of yachts in accordance with office procedures and to support Owners, Captains and Crew in delivery of safe, effective and timely yacht administration, logistics and compliance.
Versatility, communication skills, level headedness, and the ability to re-prioritize to take care of immediate issues are all necessary qualities for this position. The Yacht Manager will work closely with yacht Captains and crew and in partnership with other members of the Denison Asset Management team.
Reporting
The Yacht Manager reports directly to the Director of Asset Management.
Detail Tasks for Yacht Manager
The following task list is not intended to be either exhaustive or in any order of priority, other activities will become apparent during the delivery of the service.
Safety, Security and Compliance Management
The Yacht Manager will be an integral part of the Denison Safety Management team, tasks to include:
o Ensure that the fleet is correctly certified;
o Ensure that vessel plans and drawings including Fire/Safety, GA, Docking, Stability, SOPEP, NTVRP and other plans are in place and maintained;
o Advice on risk assessments for yacht operations;
o Submission and maintenance of EPIRB registrations;
o Flag / Class liaison for vessel certification as required;
o Liaison with Captain and Denison Safety Manager for provision of SMS manuals as well as Ship Security Assessments, and testing of Ship Security Alert Systems;
o Review and feedback of monthly returns and follow up on relevant items;
o Issue of guidance on regulations and best management practices via fleet circulars. Ship Security Assessments carried out as required and Ship Security Plans submitted for approval as necessary;
o Member of the Denison Emergency Response Team, dealing with any serious incidents as they arise;
o Participation in Denison Yacht Management office drills and training as necessary.
o Validation of certification and ensuring that expiry dates are not exceeded;
o Maintaining total crew, current crew and next of kin lists;
o Meeting of manning requirements/levels;
o Screening for managed fleet as required;
o Flag state liaison for manning requirements;
o Minimum safe manning applications and dispensations, as requested by the managed fleet;
o Oversee crew employment agreements for all new crew as well as the maintenance of crew contract files;
o Ensure that crew holiday and rotation schedules are maintained;
o Preparation of yacht crew payroll;
o Oversight of crew health insurance enrollments and crew travel arrangements;
o Annual crew reviews;
Logistics/Technical Support
o Contact point for vendor and contractors providing support to the fleet;
o Oversee any shipment of spares or other support to yachts;
o Advice and support to clients in selection of suitable contractors;
o Where technical assistance is required, ensuring that support is delivered and followed up;
o Liaise with Captain and Asset Management team regarding shipyard worklists and project funding needs;
Yacht Financial Administration
o Ensure that yacht operations budgets are in place and properly entered in Voly system;
o Oversight of financial reporting to Owners and their offices;
o Approval of invoices up to an established level.
Client Relationships
o Support to Director, Asset Management and Superyacht Director in management of client relationships as needed.
Requirements:
Skills & Proficiencies Required
- Good communication skills;
- Microsoft Office, Word & Excel;
- Time & Task management – self-starter and self-motivator;
- Experience as yacht crew is a plus;
- Knowledge of yacht crew contracts;
- Knowledge of yacht budgets and financial control;
- Familiarity with Yacht Operations, Class & Flag Compliance and Safety and Security Management requirements.
